2. Personal data we may collect
- Name, company, email address and telephone number
- Pickup and delivery postcodes, full addresses and access instructions
- Contact-person details supplied for collection or delivery
- Booking numbers, routes, vehicle, dates, time requirements, shipment details and customer references
- Account-user and saved-address information
- Payment method, invoice and payment-status records; bank or card credentials are intended to be handled by the relevant payment provider or bank rather than stored by SOLO
- Communications with SOLO
- POD information including recipient name, electronic signature, delivery photo and timestamp
- Technical information such as IP address, browser/device data, security logs and necessary session information when the production platform records it
3. Where the data comes from
Most information comes directly from the person making a booking or using an account. A booking customer may also provide personal data about collection contacts, delivery contacts, employees or recipients. Drivers may create POD records at delivery. Payment and messaging providers may return transaction or delivery-status information.
4. Why we use personal data and lawful bases
- Contract: to quote, create, manage and perform a booking and provide customer/account services.
- Legal obligation: to keep required accounting, tax and compliance records and respond to lawful requests.
- Legitimate interests: to operate and secure the courier service, prevent fraud, manage dispatch, investigate complaints, improve service reliability and keep appropriate business records where those interests are not overridden by individual rights.
- Consent: where consent is specifically required, for example optional non-essential cookies or marketing if introduced. Service-status messages needed to perform or administer a booking are not treated as marketing merely because they are sent by email, SMS or WhatsApp.
5. Who we may share data with
- Assigned drivers and authorised SOLO personnel who need the information to perform the booking
- Banks and payment providers used to process Pay by Bank or optional online card payments
- Messaging providers such as Twilio for SMS/WhatsApp and email delivery providers such as Resend when configured
- Hosting, database, storage, security and routing/map providers used to operate the platform
- Accountants, insurers, professional advisers and claims handlers where necessary
- Police, courts, regulators, HMRC or other public authorities where disclosure is required or lawfully justified
6. International transfers
Some technology providers may process data outside the UK. Where UK data-protection law requires safeguards for an international transfer, SOLO will rely on an appropriate lawful transfer mechanism and provider arrangements.
7. How long we keep data
Retention depends on the purpose and legal requirements. Booking, contract, invoice and related accounting records may need to be retained for around six years or longer where tax enquiries, disputes or other legal requirements apply. Operational contact and POD information will not be kept longer than reasonably necessary for service, claims, compliance and record-keeping purposes. Test/demo data should be removed or anonymised before production use where it is no longer required.

9. Complaints about personal data
Please contact SOLO first if you have a privacy concern so it can be investigated. You also have the right to complain to the UK Information Commissioner’s Office (ICO).
10. Cookies and similar technologies
The production website will use strictly necessary technologies required for security, sessions and core functions. If non-essential analytics, advertising or similar cookies are introduced, users will be told what they do and consent will be requested where required before those cookies are set.
11. Automated decision-making
The planned first release does not use solely automated decision-making that produces legal or similarly significant effects on customers. Route and price calculations support booking decisions but administrators can control account-specific rates and operational decisions.
12. Security
SOLO intends to use role-based access, server-side pricing and routing, protected account access, private document storage, signed file access and appropriate provider/webhook verification. No online system can guarantee absolute security, but reasonable technical and organisational measures will be used.
13. Updates
This notice will be reviewed as providers and platform features change. Material new uses of personal data should be reflected in the notice before they begin.
